1. Who we are and what this policy covers
The legal entity identified above operates the Qorbs® website and is referred to as Qorbs®, we, us or our. For the website activities described here, Qorbs® determines why and how personal information is used and acts as its controller or the equivalent responsible business under applicable law.
This policy covers visitors, people contacting sales or support, demo and early-access applicants, partners, prospective investors, candidates and users of Qi on the public website. It does not automatically govern every Qorbs® product, a customer’s internal systems or websites operated by others.
When Qorbs® processes customer-controlled data under an enterprise agreement, that agreement, the relevant product notice and any data processing agreement explain the respective roles. If your employer or another organization controls the information, direct your request to that organization; we will assist it where our contract and the law require.
2. Information we collect and where it comes from
We collect information you submit directly, technical information generated when the website or its providers handle requests, and delivery or diagnostic information supplied by service providers. Please give us only the information needed for your request.
| Activity | Information involved | Source |
|---|---|---|
| Contact, support and demo requests | Name, email, organization, request description, originating page, reference ID and timestamps. | You and our website. |
| Early access and partnership enquiries | Email, product selection, intended use, organization, selected interest, consent choices and correspondence. | You and the forms you complete. |
| Careers conversations | Contact details, professional background and any job-related information you choose to include. | You; a referrer only where sharing is lawful. |
| Qi assistance | Your question, recent conversation, current public-page title, route and extracted page text. | Your browser when Qi requests suggestions or an answer. |
| Website operation and security | IP address, browser and device information, request time, requested resource, response status and security or rate-limit events, as recorded by configured infrastructure. | Your connection and hosting/security providers. |
| Email handling | Recipient address, email contents, provider message ID and acceptance, failure, delivery or bounce events where enabled. | You, Qorbs® and the email provider. |
3. Required fields and information to avoid
Fields marked required are needed to route or respond to your request. Optional fields can be left blank. If essential contact or request information is missing, we may be unable to respond, arrange a demonstration or evaluate the enquiry. Completing a website form is generally voluntary, not a statutory obligation.
Do not submit passwords, authentication codes, API keys, private keys, payment-card details, government identity documents, patient records or confidential customer databases through public forms or Qi. The corporate website is not an approved channel for regulated operational data. If a later engagement needs such data, we will identify an appropriate process and provide the relevant information first.
If you provide another person’s information, have a lawful reason and any required authority to share it. If sensitive information is received unexpectedly, contact us so we can assess restriction, deletion or another lawful response.
4. Why we use information and our legal grounds
The legal ground depends on the activity and the law that applies. An acknowledgement that you have read this policy is not blanket consent to every use. Where we rely on legitimate interests, those interests must be balanced against your rights.
| Purpose | Information used | Ground where a legal basis is required |
|---|---|---|
| Answer enquiries and arrange requested discussions | Contact details, organization, request and correspondence. | Steps at your request before a contract, where applicable; otherwise legitimate interests in responding to business enquiries. |
| Provide support and administer an existing engagement | Contact details, support description and relevant service context. | Performance of a contract where you are a party; otherwise legitimate interests in supporting the customer organization. |
| Maintain requested early-access or partnership conversations | Email, selected product, interest and correspondence. | Consent where requested or required; otherwise legitimate interests in responding to a specifically requested update. |
| Provide optional Qi answers and suggestions | Question, page context and recent chat messages. | Legitimate interests in providing assistance you choose to use, subject to applicable requirements; consent where legally required. |
| Consider a careers enquiry | Professional information and correspondence. | Pre-contractual steps at your request and legitimate interests in recruitment; consent for a separate talent pool where required. |
| Protect the website and prevent abuse | Connection data, logs and request counters. | Legitimate interests in security, integrity and abuse prevention; legal obligations where applicable. |
| Handle rights requests, disputes and legal requirements | Relevant records and verification information. | Legal obligations, and legitimate interests in establishing, exercising or defending legal claims. |
| Send separate promotional communications, if offered | Contact details and recorded preferences. | Consent where required; another lawful basis only where local rules permit it. |
5. Qi and AI-assisted conversations
Qi is an optional website assistant. When you open it, it may request suggested questions using the current public page. When you send a question, your question, recent chat messages and extracted text from that page are sent through Qorbs® to Groq for generation. Page content can include text already loaded in cards, tables and collapsed sections. Long content may be truncated.
The page extraction is designed to exclude form fields, navigation, footer content, chat panels and elements designated private or sensitive. This is a technical safeguard, not permission to place confidential information on a public page. Information you type directly into Qi is part of the request and is not excluded by that safeguard.
The website implementation maintains the displayed conversation in browser memory and resends recent messages for continuity. Its rate-limit database does not serve as a chat-history archive. This does not mean that infrastructure or provider systems keep no logs. Provider retention and data controls must be considered separately.
Groq processes requests under its applicable service terms and data arrangements. This policy does not promise zero retention or claim that a particular training or retention setting is enabled. Contact us for information about the controls applicable to the deployed service.
Qi provides guidance, not a decision on employment, eligibility, credit, healthcare, identity verification or another significant personal matter. It does not access your private account or execute financial changes through this website. A sales or support link invites you to contact a person; it does not itself create a ticket or transfer a conversation. You can use the ordinary forms without using Qi.
6. Messages, updates and your choices
When you submit a request, we may send an acknowledgement and share the request with the appropriate Qorbs® team. We may follow up about that request. Request-related messages are distinct from a general marketing subscription.
If you separately subscribe to promotional updates, you can unsubscribe using the method provided in the message or contact us. Opting out of marketing does not prevent necessary responses to an enquiry you initiate, security notices or contractual communications.
We may retain a limited suppression record to respect an opt-out. A checkbox authorizing a response to your request is not treated as permission for unrelated marketing.
9. International processing and transfers
Your information may be processed outside your country because Qorbs® and its providers can operate in different jurisdictions. Protections and public-authority access rules may differ between countries. The actual hosting regions, provider locations and relevant transfer arrangements must be confirmed for the deployed service.
Where transfer restrictions apply, a lawful transfer mechanism is required. Depending on the applicable regime, this may involve a recognized adequacy decision, approved contractual safeguards, a UK transfer instrument or another permitted ground. An EU safeguard alone does not establish compliance with Nigerian or UK requirements.
Contact us for the destinations and safeguards relevant to your information and, where available, a copy or explanation with confidential terms redacted. Using this website is not treated as blanket consent to restricted international transfers.
10. How long information is kept
We retain identifiable information for the purpose for which it was collected, taking account of the ongoing relationship, a request’s resolution, security needs, legal obligations and applicable limitation periods. We do not state a fixed deletion deadline unless a retention process exists to meet it.
| Record | Retention criteria |
|---|---|
| Enquiries, support and demo records | The time needed to handle the request, reasonable follow-up, evidence of the interaction and applicable legal requirements. |
| Early-access and partnership records | The requested initiative’s duration and continuing relevance; withdrawal or closure prompts review, subject to lawful exceptions. |
| Careers information | The relevant recruitment process and required recordkeeping; separate talent-pool retention needs its own defined period and lawful basis. |
| Qi requests and technical logs | Browser-session needs and the configured infrastructure/provider retention rules; confirm any diagnostic logging and provider retention settings. |
| Email records and opt-outs | Communication history and troubleshooting needs; minimal suppression data for as long as necessary to respect a choice. |
| Backups, disputes and legal holds | Backup rotation and restoration safeguards; restricted retention while a documented legal hold or obligation remains. |
11. Security and incident handling
We use technical and organizational measures appropriate to the information and risk. The website architecture separates server credentials from browser code and supports validation, restricted database access and abuse controls. Effective protection also depends on deployment settings, access management and operational practices.
No website or transmission method can be guaranteed completely secure. If you suspect an exposure, use Support to report the issue without sending exploitable secrets or another person’s data. Where an incident requires notice to affected people or a regulator, we will provide the notice required by applicable law.
12. Your privacy rights
Depending on your location, the applicable law, the processing purpose and any lawful exceptions, you may have the rights below. Exercising a right does not automatically require deletion of records we must lawfully retain.
- Ask whether we process your information and request access, a copy and an explanation of its use.
- Ask us to correct inaccurate or incomplete information.
- Request deletion or restriction where the legal conditions are met.
- Receive qualifying information in a portable format or ask for transmission where technically feasible.
- Object to processing based on legitimate interests because of your circumstances. You may object to direct marketing at any time.
- Withdraw consent where consent is the basis. Withdrawal does not undo processing that was lawful before withdrawal.
- Request applicable protections relating to solely automated decisions with legal or similarly significant effects.
- Complain to a competent privacy regulator or pursue another available legal remedy.
13. How to make a privacy request
Use the privacy email listed above or the Support page and start your message with “Privacy request”. Tell us which right you want to exercise, the email used to contact Qorbs® and enough context to locate relevant records. You do not need to create an account.
We may ask for proportionate verification or evidence that an authorized representative can act for you. Do not send a password, API key or identity document unless we have explained a secure, necessary verification process. We respond within the period required by the law that applies and explain any permitted extension or refusal.
We normally handle requests without charge. Any legally permitted fee or refusal must be justified. We will not unlawfully discriminate against you for exercising rights. If our decision can be appealed under applicable law, reply through the same channel requesting an appeal; we will explain the outcome and any further recourse.
14. Regional rights and complaints
Nigeria: where the Nigeria Data Protection Act applies, you may exercise the rights available under that Act and complain to the Nigeria Data Protection Commission at ndpc.gov.ng. You need not complete an internal complaint first where the law permits direct escalation.
EEA and UK: where the GDPR or UK GDPR applies, the relevant rights and transfer rules apply. You may complain to your competent EEA supervisory authority or the UK Information Commissioner at ico.org.uk. Required representative or data protection officer contact details must be added to the operator information where an appointment is legally necessary.
California and other US states: where the relevant state privacy law applies to Qorbs® and to your information, you may have rights to know, access, correct, delete and obtain portable data, and opt out of qualifying sale, targeted advertising or sharing and certain profiling. Sensitive-information restrictions and authorized-agent or appeal rights may also apply. Those rights are subject to statutory scope and exceptions.
The public-site implementation described here uses providers to handle requests, emails and AI answers. Whether any deployment or contract involves a legally defined sale or sharing must be verified; we do not assume that a vendor is automatically exempt. Any applicable opt-out and recognized preference-signal handling must be implemented before such processing occurs. A jurisdiction-specific notice at collection must be provided where required.
15. Children and vulnerable users
This corporate website is intended for adults and professional or organizational enquiries. It is not designed as a service for children. Do not submit information about a child through the general forms or Qi.
If a parent, guardian or another person believes a child’s information has been submitted, contact us so we can assess and take appropriate action. A future service specifically involving children requires its own safeguards and notices; this policy does not supply parental consent.
16. Other websites and services
Links, embedded content and third-party services may be governed by their own privacy notices. When you leave Qorbs® or use a third-party feature, review the relevant provider’s terms. This does not remove Qorbs® responsibilities for disclosures or processing that Qorbs® controls.
17. Changes and contact
We may update this policy to reflect changes in operations or legal requirements. The version and effective date identify the applicable edition. Material changes will be communicated as required before new processing begins; where a new use requires consent, an updated notice alone is insufficient.
Contact the operator using the details above or the Support link below. Identify the policy version and your concern. Privacy requests are handled separately from marketing choices and commercial negotiations.
